IFTA License Renewal Requirements
IFTA licenses must be renewed no later than December 31st of the current year. To ensure timely issuance of your IFTA License, the following renewal requirements must be submitted along with the IFTA Filing Fee of $10.00.
Renewal with No Changes:
- IFTA License Renewal Application or IFTA License Renewal
- Record Keeping Agreement
- Power of Attorney: Motor Carrier (if applicable)
Renewal with Changes:
- IFTA Account Changes Application
- Record Keeping Agreement
- Power of Attorney: Motor Carrier (if applicable)
- IFTA Lease Agreement Certificate (for any vehicles added to the account requiring IFTA decals)
- Copy of the current registration (for any vehicles added to the account requiring IFTA decals)
- When requesting an address change for the business location, verification of the physical Arizona address is required. Include a current copy of one of the following acceptable documents (the applicant name must be indicated on the document):
- Real-estate ownership document
- Real-estate lease agreement
- Rent or mortgage payment receipt
- Utility bill with applicant's name on it
- Current copy of the IRS form 2290
- Copy of your Articles of Incorporation
- When requesting an address change that is a residency address, proof of residency is required. Include a current copy of three of the following acceptable documents (the applicant name must be indicated on the document):
- If an individual, your driver license is issued by Arizona
- If a corporation, evidence that it is incorporated or registered to conduct business as a foreign corporation in Arizona
- If a corporation, evidence that the principal owner is a resident of Arizona
- A copy of your federal income tax returns, filed from an address in Arizona
- Proof that you have paid personal income taxes to Arizona
- Proof that you have paid real estate or personal taxes to Arizona
- A copy of a Arizona vehicle title in your name
- Other factors that may clearly prove that your legal residence is in Arizona (subject to review and approval)
- Examples of an established place of residence: House, Apartment
Email Requirements
In an effort to enhance the efficiency of Motor Carrier transactions, we now require email addresses for all Motor Carrier customers. The customer will designate an email address for each of the following:
- IRP - Designated contact to receive correspondence related to IRP Transactions (i.e. Owner, Agent, Authorized Third Party, etc.)
- IFTA - Designated contact to receive correspondence related to IFTA Transactions (i.e. Owner, Agent, Authorized Third Party, etc.)
- AUDIT - Designated contact to receive Notice of Audit, Letter of Findings, etc. (i.e. Owner, Agent, Authorized Third Party, etc.)
- PRIMARY - Designated contact to receive Administrative Notices related to the carrier account (Owner or Designee)
- RECORD KEEPING - Designated contact who will maintain carrier records (i.e. Owner, Agent, Authorized Third Party, etc.)
Fuel Type Reporting
A carrier is required to file a tax report for each fuel type used. Effective immediately, the IFTA License Renewal Application has been modified to allow the carriers to identify the fuel types used. The fuel types for which you will file quarterly returns are:
- Diesel
- Gas
- Gasohol
- Ethanol
- Methanol
- LPG
- LNG
- CNG
- M-85
- E-85
- A-55
